FleetTrack · by Sail Ready Services

Know what is ready before it leaves the dock.

FleetTrack is a mobile-first fleet operations web app for yacht clubs, sailing schools, marinas, and shared fleets. Every boat, engine, trailer, and piece of equipment gets a scannable tag, a clear status, and a permanent maintenance history.

How the operational workflow runs

One path from the dock to a closed work order, with a human reviewing every step.

  • 1. Scan or tap

A member, instructor, or staff member scans the QR code on the boat or taps its NFC tag. No app install, no account needed for the basic public report.

  • 2. Identify the asset

The tag opens the asset page showing only the fields the organization has approved for public view — boat name, class, and current operational status.

  • 3. Report the issue

A short structured form captures what is wrong, how urgent it looks, and optional photos, then timestamps it against that specific asset.

  • 4. Triage and assign

A fleet manager reviews the report, sets priority, and assigns the work to a technician or an outside vendor with the context already attached.

  • 5. Track the work

Technicians record parts, checklists, notes, and evidence as the job progresses, so nothing depends on someone remembering a dock conversation.

  • 6. Keep the history

Every report, decision, and completed job stays on the asset record, giving the club a permanent, searchable maintenance history.

FleetTrack records operational decisions made by your people. It does not certify safety, seaworthiness, insurance status, or return to service. Those determinations remain with the qualified individuals your organization designates.

Who it is for

  • Yacht clubs

Club-owned keelboats, dinghies, coach boats, moorings, and shared equipment tracked in one place across a volunteer-heavy season.

  • Sailing schools

High-turnover training fleets where instructors change daily and damage needs to be reported in under a minute.

  • Marinas and fleet operators

Operators managing rentals, service boats, and customer assets who need an auditable record of what was reported and when.

  • Sail Ready supported organizations

Clubs already working with Sail Ready Services who want their maintenance requests to arrive with structure instead of scattered texts.

What each role gets

Permissions are scoped by role so each person sees the shortest useful view.

  • Instructor or member

Scan, describe the problem, add a photo, done. No training session required and no login for the basic public report.

  • Technician

See assigned work with the full history of the asset, follow checklists, and attach evidence when the job is closed.

  • Fleet manager

Work an exception list: new reports, overdue work, unassigned jobs, approvals waiting, and recent changes across the fleet.

  • Board or admin

Controlled summaries, audit history, and authorized reports without giving out day-to-day operational access.

Delivered as a web app

FleetTrack runs as its own standalone application, separate from this website.

  • Opens from a secure link

FleetTrack is being delivered as an installable web app. It opens in the browser on phone, tablet, and desktop — no app store, no device management.

  • Add to home screen

Staff can add FleetTrack to a phone home screen so it launches like a native app on the dock.

  • Designed for weak marina signal

Design direction for the pilot: fast, light screens and safe offline drafts that submit once signal returns. Offline behaviour is being validated during the pilot, not sold as a finished guarantee.

  • Bilingual interface

English and French throughout, matching how clubs in Québec actually operate.

Trust and privacy

Practical controls, described plainly. FleetTrack does not claim any certification or regulatory compliance status.

  • Organization separation

Each organization's fleet, reports, and history are isolated from every other organization on the platform.

  • Role permissions

Access is granted per role and per organization, and changes to access are recorded.

  • Public field allowlisting

A public scan shows only the fields an organization explicitly approves. Nothing else on the asset record is exposed.

  • Audit trail

Reports, status changes, assignments, and approvals are timestamped and attributable, with humans making the decisions.
